Vehicle Check Out Procedure
At Ecclesia, we believe the vehicles we have are gifts to be used to serve. As a staff, we value taking ownership of these gifts and share in the responsibility of care. To share these resources well, we use a vehicle check out process to ensure the Ecclesia staff have access to the resources they need, when they need them.

Create an Expense Report in Expensify
Credit Card Policy
Policies and Procedures
Credit cards are only to be used for the payment of authorized expenses consistent with the cardholder’s organizational responsibilities.
Cash advances on credit cards are not allowed.
Detailed receipts must be obtained for each purchase.
Complete expense reports are to be submitted every Tuesday.
Cardholders must make every effort to ensure that purchases do not include sales tax.

Cardholders should immediately notify Expensify Concierge at concierge@expensify.com and the accounting department if their card becomes lost or stolen.
Expensify
A completed Expense Report should be submitted through Expensify on the appropriate Workspace each Tuesday for purchases made the previous week (Monday- Sunday). The reports should only include charges that have digitally imported from your Expensify Card or manually entered expenses such as company charges on your personal card or mileage reimbursement expenses,
Expense reports submitted with incomplete or unclear details may be rejected.
The Expensify Card will automatically turn off once you have exceeded your limit for unapproved expenses.
Recurring outstanding expenses or late reports will result in suspension or revocation of credit card privileges.
Lost Receipts
If you are missing an original receipt image for an expense under $50, keep your Expensify-generated receipt attached. If you lose the auto-generated receipt, complete a Lost/Missing Receipt Form (download here) and attach the form in lieu of the receipt image.
All expenses over $50 that are missing a receipt require a "lost/missing receipt form" to be attached.
Recurring lost receipts will result in suspension or revocation of credit card privileges.

Sharing and Syncing Ecclesia Calendars
Follow these instructions to Share and sync calendars with your Ecclesia Calendar.
How sharing works
Here are a couple examples of what you can do with calendar sharing:
Share your main calendar with someone so they can see your schedule.
Create a new calendar that multiple people can edit.
When you add someone to your calendar, you can decide how they see your events and whether they can also make changes like adding or editing events.
To share a calendar
- On your computer, open Google Calendar in a browser window.
- On the left, find the "My calendars" section. You might need to click it to expand it.
- To the right of the calendar you want to share, click the Down arrow .
- Click Share this Calendar.
- Under "Share with specific people," add the email address of the person you want to share with.
- Under "Permission Settings," choose an option in the drop-down menu. Learn more about these options below.
- If someone isn't already added, click Add person.
- Click Save.
If you shared your calendar with an individual email address, they'll see your calendar in their "Other calendars" list. If you shared your calendar with an email group , they'll see the calendar in their "Other calendars" list once they click on the link in the email invitation from Google Calendar.

Syncing Your Calendars
Once someone has shared a calendar with you, you will need to sync it to your device. Follow the steps below to add or remove calendars from syncing with your device.
- Go to the Calendar sync page.
- Check or uncheck the names of any calendars.
- In the bottom right corner, click Save.
- When you're done, refresh your calendar.
Set Up Your Email Account on iOS

- Go to Settings > Mail > Add Account.
- Select GMail
- Enter your user Ecclesia Email Address
- Enter your password
- Tap Next and wait for Mail to verify your account. Follow any prompts
- Choose the content you would like to sync. Tap Save.
