 Whistleblower Policy

We strive to conduct ourselves at the highest level of accountability. We know at times we may fail. We want to provide a process for you to report concerns you have of any perceived or actual illegal activity or breach of biblical ethics in the workplace. 

Our hope is that we work together to identify and appropriately remedy any such activity. During the process of reporting, we will maintain a posture of humility and an open door policy. 

Reporting Responsibility 

This Whistleblower Policy is intended to encourage and enable employees to raise concerns internally so that Ecclesia can address and take corrective action for inappropriate conduct if necessary. It is the responsibility of all employees to report concerns about suspected biblical, ethical, moral or legal violations.


No Retaliation

It is contrary to the values of Ecclesia to retaliate against anyone including overseers, employees, members, or volunteers, who in good faith report a suspected biblical, ethical, moral, or legal violation. An employee who retaliates against someone who has reported a violation in good faith is subject to discipline up to and including termination of employment.

Reporting Procedure 

In-House Reporting:

Ecclesia embraces an open-door policy, and we always prefer any questions or concerns be discussed with a manager. However, if you are uncomfortable speaking with your manager, or the manager is a subject of the concern, you should report your concern directly to human resources or any level above your manager.

 Supervisors and managers are required to report complaints or concerns about suspected violations in writing to the Compliance Team, who has the responsibility to investigate all reported complaints.

Third Party Reporting:

When you’re not comfortable reporting to a manger or HR directly, you did not receive a satisfactory response, or prefer your report to be completely anonymous we encourage you to either:

Compliance Team:

Ecclesia’s Compliance Team is responsible for ensuring that all complaints about unbiblical or illegal conduct are investigated and resolved. The Compliance Team will advise the Executive Team and Overseers of all complaints, the proposed process for resolution, and the ultimate resolution. Any complaint involving a compliance team member will require a member of Executive Staff to serve as the 3rd member of the team in proposing and resolving the issue. Any complaint involving Executive Staff will require the participation of the Board prior to resolution.

Confidentiality 

Violations or suspected violations may be submitted on a confidential basis by the complainant. Reports of violations or suspected violations will be kept confidential to the extent possible, consistent with the need to conduct an adequate investigation.

Handling of Reported Violations 

In-House Reporting:

Ecclesia’s Compliance Team will notify the person who submitted a complaint and acknowledge receipt of the reported violation or suspected violation. All reports will be promptly investigated and appropriate corrective action will be taken if warranted by the investigation.

Third Party Reporting:

Ecclesia’s Compliance Team will notify the person who submitted a complaint and acknowledge receipt of the reported violation or suspected violation via third party in which the complaint was received. All reports will be promptly investigated and appropriate corrective action will be taken if warranted by the investigation. 


Compliance Team Formation

The current compliance team is made up of a pastor from both Downtown Campus and West Side Campus as well as our HR Director. In the event, one of the appointed compliance team members is mentioned in a complaint to the 3rd party reporting, a member of the Executive Team will be brought into the investigation process.
